These are split up into the likes of "Project Info", "Logins", "Server Details", etc. Each item can be anything (file, image, video, text, email, etc), can be categorized in anyway and always has full Instant Search via Outlook itself. Each user can flag the things they need/want the most. It just works. Most our knowledge is collated from emails anyway, so it was a no brainer moving them over into the folders, slapping on a category and voila. If you don't use Exchange this isn't much use of course, but I'm just saying the solution could be a lot closer to home than you think.
